Exporting a patient's data
Download a patient's logs, check-ins, scores, and your notes as spreadsheets you can open and edit, plus a CSV of your whole client list.
Everything a patient logs stays available to you inside the dashboard, but sometimes you need it out: a case conference, a chart upload, a records request, a patient who is transferring to another clinician. The Export data button gives you plain CSV files you can open in Excel, Numbers, or Google Sheets, edit however you like, and file wherever you keep the rest of that patient's record.
Pippa is a standalone secure web app. It does not write into Epic, Cerner, or any other record system, and nothing here pretends to. The export is a file you control, which is the whole promise: open it, edit it, keep it, attach it.
Exporting one patient

What is in each file
| File | What it holds |
|---|---|
| Meals and check-ins | One row per log: date, time, slot, food, eaten or skipped, calorie estimates, any nutrients, hunger and fullness, feelings, urges, coping skills, plan match, every clinician-gated follow-up you have switched on, the patient's own note and voice diary, answers to your custom questions, and your review comment. |
| Mood check-ins | Every mood entry with its date, band, what prompted it, and any note. |
| Moment records | The non-meal records: trigger, feeling, behaviour, thought, what helped, intensity. |
| Scores | Administered instruments with subscale breakdowns, who entered each, and when. |
| Weight and calories by week | Weekly weight alongside the calorie goal and what was consumed. |
| Water | Cups per day against the daily goal. |
| Clinical notes | Your notes on this patient: sections, mental status exam, risk level, author, dates. |
| Shared journal | Only the entries the patient chose to share with you. Nothing else from their journal exists on our servers. |
| Everything (JSON) | The full record in one file, including the things a spreadsheet cannot hold well: chat transcripts, the meal plan, the safety plan, and app settings. |
A few details worth knowing when you read the numbers:
- Times are the patient's, not yours. Each row's date is the patient's own calendar day and the time is on their clock, so the file agrees with what you saw on screen.
- Calories come in two columns. The AI estimate and your correction, kept separate, so it is always clear which number is a machine's and which is yours.
- Nutrient columns only appear when there are nutrients. Otherwise you would get ten empty columns burying the three you read.
- The photo column distinguishes three things: a photo, one the patient hid, and one they permanently deleted. The images themselves are not in the export.
- Blank means blank. An unanswered check-in question is an empty cell, never a zero.
Every file here holds protected health information, including calorie estimates and clinical notes the patient never sees. Once downloaded they are outside Pippa's access controls, so keep them wherever you keep the rest of that patient's record, and delete them when you are done.
Exporting your client list
The roster has its own Export CSV button next to the search box. It gives you one row per patient: name, email, status, consent state, last active, current streak, whether they need review, and the reasons behind that. No individual logs, just the list as you see it.
Every download is recorded
A download is a disclosure, so Pippa writes it down twice:
- In the patient's history. The care team sees a line like downloaded meals and check-ins, scores (412 rows) in the History tab, alongside every other action on that record. Anyone on the team can see that a copy was taken.
- In the clinic's access log. An append-only entry your clinic admin can review, filter, and export. See The access log.
When a patient deletes their account there is a 30-day window before the data is purged for good. If you need anything from their record, export it inside that window. See Data lifecycle.
What patient view does to this
In patient view, the export button disappears, along with the panel if you happen to have it open. The files carry calories, notes, and scores, which is exactly what patient view exists to keep off a shared screen. Exit patient view to export.
