Adding your team

How a clinic admin invites employees to the institution, gives each a care-team label, and removes staff, and how that differs from sharing one patient with a colleague.

If you run the institution, you can add the rest of your staff to Pippa yourself. A clinic admin invites employees by email, and each one gets their own account scoped to your clinic and their own sign-in link. This page walks through it.

Only a clinic admin sees this

Staff Management is an admin-only screen. A regular clinician does not see it. If you are the person who set up the institution, you are the clinic admin; see Roles and what each can do for the full picture of who can do what.

Where to go

Open Settings on the dashboard and find the Staff Management section. This is where you invite employees, give each a care-team label, and remove access when someone leaves.

Inviting an employee

Enter their email

In the Invite an employee box, type the employee's Email. This is the only required field, and it is where their sign-in link is sent.

Add a name (optional)

You can also add a Name so the person is easy to recognize in your staff list. It is optional.

Press Invite

Select Invite employee. Pippa provisions a clinician account scoped to your clinic and emails that person a sign-in link. They sign in with the link, and they are ready to work.

They sign in with the link, no password to hand out

You never create or share a password. The invite email carries the sign-in link, so onboarding a colleague is just typing their email and pressing Invite.

What an invited employee can do

An invited employee is a clinician on your team. Once signed in, they can see the roster and open the patients who have consented to them. Consent is still per clinician: an employee signs their own consent with each patient before they can see that patient's individual data. Care-team labels

In the staff list, each employee has a Care-team role you can set: Therapist, Dietician, Clinician, or Counsellor. Pick whichever fits.

A label, not a permission tier

The care-team role is display only. It shows as a badge on the care team and as authorship on notes and edits, and it never changes what a teammate can access. It just tells everyone who is who. Access is always governed by consent, not by this label.

Removing staff

To remove someone, use the Remove button on their row in Staff Management. Their access ends. The clinic admin's own row has no Remove button, so you cannot accidentally lock yourself out of your own institution.

These two are easy to mix up, so hold the difference:

In short: Staff Management is how a person joins your clinic. The care team is how you then bring a colleague onto a specific patient you both work with.

Sharing a single patient?

That is a different flow. Once a colleague is on staff, you add them to an individual patient from that patient's Care team panel, where they sign their own consent with that patient.
